Roles in the Marriage Mentors Support System (Admin)

Member Roles in the Marriage Mentors Support System provide a way for you to manage the amount of access a User has as well as the orientation of their purpose on the system.

Changing Member Roles

Roles can be changed per couple or per individual user User.

Changing Roles as a Couple

  1. From your Dashboard, go to Manage Organization
  2. Find the couple you'd like to edit and click their name (e.g. John and Jane Doe)
  3. On the next page, scroll down and click the Tab header for "Member Roles / Status"
  4. Changing the Roles in this section and clicking "Update Roles" will change the roles for both spouses

Changing Roles as an individual User

  1. From your Dashboard, go to Manage Organization
  2. Find the person you'd like to edit and click their picture or the "EDIT" label under their picture
  3. On the next page, click "Security" on the left menu, then click anywhere in the Groups/Roles section
  4. Changing the Roles in this section and clicking "Save Changes" will change the roles for this User

Below is a listing of Roles:

Organization Management Roles

  1. Organization Administrator
Organization Administrators can view and manage the organization with which they are affiliated. They can create new users that are affiliated with their organization (members), and they can manage members of their organization that have entered a Mentee or Mentor Registration Code (i.e., have the Mentor Support System role). This role can and should be combined with other leadership roles. Multiple people can have the Organization Administrators role within an organization.

These individuals would include:
  1. Senior or Marriage Pastors
  2. Administrative Assistants who are involved in the mentoring ministry at their church
  3. Ministry Heads

Organization Leadership Roles

Only 1 Organization Leadership role should be assigned at a time.
  1. Staff Champion
  2. Ministry Coordinator

Staff Champions and Ministry Coordinators have exactly the same privileges in the system. Users with these roles can view all members of an organization, pair Mentors and Mentees and view all Mentor Session Reports. These users can also receive organizational email notifications as per the organization’s system settings. Multiple people can have Organization Leadership roles within an organization.

These individuals would include:
  1. Church Staff Members as the primary point-of-contact for Mentors and Mentees
  2. Ministry Heads
  3. Volunteers Leaders with higher-level access

Mentoring Leadership Roles

  1. Couple Support Coordinator
Couple Support Coordinators can be assigned to 1 or more Mentors Couples. These would typically be leaders over these Mentor Couples and their mentoring process. Couple Support Coordinators can view all Mentor Session Reports for the Mentor Couples for which they are assigned.

These individuals would include:
  1. Ministry Heads who are leading other groups of Mentors
  2. Mentors who are leading other groups of Mentors

Mentor Roles

  1. Commissioned Mentor
  2. Inactive Mentor
  3. Mentor Trainee

Only 1 Mentor role should be assigned at a time.

Mentor Trainee is the initial role given to a user who enters a Mentor Registration Code. These users have access to the “My Mentor Journey” section on the Dashboard and the Mentor Resources. They cannot be paired with a Mentee Couple.

Commissioned Mentor is a role that is given to a Mentor Couple who has completed the process of becoming a Mentor. This should include attending a Mentor Training Session and a Mentor Commissioning Appointment with their organization’s mentoring leadership. Commissioned Mentors can be paired with Mentee Couples and can be assigned to Couple Support Coordinators.

Inactive Mentor is a role that is given to a user who was once a Commissioned Mentor but is now inactive.


Mentee Roles

  1. Graduated Mentee
  2. Mentee
  3. Inactive Mentee
  4. Potential Mentee
Only 1 Mentee role should be assigned at a time.

Potential Mentee is the initial role given to a user who enters a Mentee Registration Code. These users have access to the “My Mentee Journey” section on the Dashboard and the Mentee Resources. They cannot be paired with a Mentor Couple.

Mentee is a role that is given to a Mentee Couple who has completed the process of becoming a Mentee. This should include attending an Entry-level Appointment
with their organization’s mentoring leadership. Mentees can be paired with a Mentor Couple.

Graduated Mentee is a role that is given to a Mentee Couple who have completed the mentoring process. Inactive Mentees cannot be paired with a new Mentor Couple.

Inactive Mentee is a role that is given to a Mentee Couple who have not completed the mentoring process. Inactive Mentees cannot be paired with a Mentor Couple.
